Within five months and two weeks of a provider’s financial year end

Annual Financial Return

Registered providers (excluding further education colleges and sixth form colleges) need to submit financial data consistent with their latest audited financial statements, forecast financial and student number data, and other relevant contextual information, including signed, audited financial statements and the management letter from its external auditor. The data is used to monitor the financial viability and sustainability of providers.

Registered further education and sixth form colleges need to submit details of individual students and the courses they are studying. The data underpins our regulatory approach, including metrics used to monitor condition B3 (student outcomes).

Graduate Outcomes survey (2020-21): Cohort D

Providers need to submit and check the contact details for students who have completed their studies, who will then be surveyed by HESA.

For further education and sixth form colleges, initial contact details will be sourced from the Individualised Learner Record (ILR) but will still need checking.

Consultation on changes to the National Student Survey

This consultation sets out proposals for changes to the National Student Survey (NSS) arising from a review conducted by the UK higher education funding and regulatory bodies in 2020-2022.

This consultation seeks views on the approach to determining specialist provider formula funding allocations for the 2022-23 academic year and beyond, for providers that are identified as world-leading by the Specialist Provider Panel.

Student record or Student Alternative record (2021-22)

Providers need to submit details of individual students and the courses they are studying. The data collected underpins our regulatory approach.

Providers that returned a HESA student return in 2017-18 are required to continue to make a student return. Providers that have not previously made a HESA student return, or have previously made a HESA student alternative return, may choose to make either of these.

Medical and Dental Students survey 2022

Providers with a medical or dental school need to submit data relating to the intake of medical and dental students. A nil return will not be required from other providers. The data is used to monitor medical and dental recruitment targets.

 11 November

 Aggregate offshore record (2021-22)

Providers need to submit information about the number of students studying overseas who are either registered with them or studying towards their awards. The data is used to understand the nature and extent of providers’ offshore activity and for general monitoring purposes.

Graduate Outcomes Survey (2021-22) – Cohort A

Providers who have completed the Student or Student Alternative record will need to engage with the Graduate Outcomes survey, including submitting and approving contact details for students who have completed their studies when necessary, who will then be surveyed by the DDB.

The graduate outcomes survey is used to understand student progression and outcomes including to inform student choice.

Staff record (2021-22)

Providers need to submit demographic and contract information for academic staff and governors. The data is primarily required by UK Research and Innovation (UKRI) and the Department for Education to understand the makeup of the academic and research workforce.

Annual fee limits

Providers need to submit information on the maximum fees that they wish to charge ‘qualifying persons’ in connection with each ‘qualifying course’ provided in 2023-24. The data is used to fulfil the duty in section 11 of HERA.

Guidance on submission requirements will be published on the OfS website in the autumn.

 

25 November

National Student Survey 2023

Providers need to submit contact details for students who are on the target list. The data will be collected by contractors working on behalf of the OfS and other stakeholders. NSS data is used to inform student choice, as part of the Teaching Excellence and Student Outcomes Framework, and for general monitoring purposes.

Prevent accountability and data return

Providers need to submit declarations confirming that they have continued to show due regard to the Prevent duty, and data on key areas of the duty: welfare, events and external speakers, and training.

12 December

30 January

Higher Education Students Early Statistics survey 2022-23

Providers need to submit data on the number of higher education students studying in the 2022-23 academic year. The data is used to inform funding allocations.

Updated guidance on submission requirements will be published in the autumn.

 

31 January

TRAC 2021-22

Providers need to submit a TRAC return that has been reviewed and approved as set out in guidance. The data is used to understand the application of costs across activity, including cross subsidies in higher education. They are also used by UKRI and other public funders for funding purposes.

Providers will not be required to submit a TRAC(T) return for the 2021-22 year.

 

1 February

Higher Education – Business and Community Interaction survey (2021-22)

Providers need to submit details of the volume and direction of interactions between the provider, business and the wider community. The data is used by UKRI to allocate Higher Education Innovation Fund funding and to generate metrics for the Knowledge Exchange Framework.

Capital monitoring (2022-23)

Providers that received a formula teaching capital allocation in financial year 2022-23, or received capital funding during financial year 2022-23 as part of the bidding exercise for financial years 2022-23 to 2024-25, will need to submit a short report providing assurance over how the funding has been spent. This is used to provide assurance that the funding has been used for the purposes given, and evidence of the impact of the capital grant at individual providers.

Further information will be published in spring 2023.

 

17 April

Monitoring of funding to support Ukrainian students

Providers that received an allocation of funding to support Ukrainian students during the 2022-23 financial year will need to complete a short monitoring exercise to confirm that the funding has been distributed to eligible students in compliance with the Terms and Conditions. The monitoring return will also allow us to reclaim any undistributed funding.
